Contact management for local businesses

One of the pressing items we'll need to address is contacting local businesses for participation / possible contribution to the event.  I think we need to be concerned about a couple of things:

  • Multiple contacts to same company
  • Contacting companies without providing them a way of opting out of further communications
  • Tracking correspondence

We could just use the spreadsheet in gdocs, but as more information gets added to the sheet it becomes increasingly cumbersome.  I could see this list becoming very important to us as a group, and to other companies / individuals in the area.  This event will be the first of many communications we will have with these companies, we need a robust way to maintain this.

I’ve spent some time over the weekend looking at some CMS modules for Drupal, and while they have some nice features (tracking events, handling registrations, etc), they are very complex – I think way too complex for what we want to address.

I would like to throw this out as an option, assuming we have email capabilities from the wnydug.org site.  We used a contrib module called SimpleNews extensively at my prior employer, and it is a very simple way to send and track emails sent to the site users.  It allows for opt-in / opt-out, establishes de-facto templates for different types of communication, and leverages all of the typical Drupal goodness.  We maintained a list of / regularly communicated with over 17,000 email contacts using this setup.

Here is what I propose:

  • We use wnydug.org as the container to store this contact information, instead of the current spreadsheet.
  • We expand the account settings by adding the additional fields we have in the business spreadsheet to the standard user account.
  • We enter a user for each of the businesses, and set up a permissions role for the group
  • We can then send email communications to them (may require initial phone call for introduction and to break the ice, could get email contact from that)

Never mind the [lack of] formatting, I use this site as a sandbox and am continually changing things around, we can dress it up a bit with typical node capabilities.

Let me know if you think this would be an option, I can go into more detail if it is.  I would be willing to set this up if it is possible, as I've done it before and am familiar with the modules.

If we can't use the wnydug.org site I still think we need to come up with a more robust way of storing / tracking this information.

I agree with your proposed approach, plus the use of wnydug.org (now that it's back live again). The question is how to get access to it, which I will check into next.

Today I also re-engaged with the Drupal Association via my contact there and they are interested in the list too; I appealed to them since they are hiring a marketing lead (I was under the impression from their last board meeting recording that it was a done deal) and I requested an introduction as soon as possible.

Do you have tim to talk tomorrow, Tuesday 12/16, by 4 p.m.?

This is a great solution as opposed to a Drupal ->MailChimp sync solution the list/account may be flagged by recipients as SPAM on MailChimps systems and theyd shut the account  its hard typing on tablet in overlay on WYSIWYG could send out an initial invite email asking them to subscribe. MailChimp is free for up to 2k subs at 6 emails a month.

I had a good chat with Jeremy last night and with Nick this morning.

The Dev site for WNYDUG.org on Pantheon is back up and ready for anyone to tinker with, e.g., for SimpleNews.

Jeremy thought that RedHen may make for a better utility to manage our dialogue with the local Drupal site admins. Nick said we could install it on a free, non - public-facing Patheon site, or just install on someone's server.

As for mail, we already have a MailChimp account and the free tier should work. Mandrill could be overkill.

Let me know if anyone has any other ideas. Including a possible fiscal agent, maybe through Appnovation or Acquia, even.

Oh, and what about a standing Tues. at 9 p.m. check-in call for our group?

I've created users for Kevin, Nick, Jeremy, Tony and John on the wnydug.net site.  We discussed this on the weekly calls but not everyone was on, so I'll give a quick update here:

We need to be able to create a database of local Drupal-using businesses, Drupal support organizations, vendors and volunteers.  This is not only for the April event, but for continuing operations related to communications and events.

It was decided to implement the RedHen CRM (thanks to a suggestion from Jeremy), and we decided to place it on an ancillary domain for now (wnydug.net), instead of the main wnydug.org site.  It remains to be seen if this was a good idea or not, we can always move it later on.

I registered the domain and have spent some time setting up the basic structure.  I've entered enough data to prove out the configuration, and figured it was time to share it, which will explain the emails you should have just received from wnydug.net.

Take a look around, we'll be discussing this more on the Tuesday night calls.

OK, I've created an Events newsletter that will pull from rhe RedHen contacts in the wnydug.net site.  I wanted to have this in place before we send a MailChimp campaign asking everyone in that list to register on the .net site.

I'm going to send out a test mailing to everyone listed here to get your feedback.  John and I have looked at it in our clients, and with the exception of some minor weirdness in Outlook it doesn't break anything.  I would appreciate it you could take a quick look at it and give feedback tonight if you'll be on the call.
